
Terms & Conditions

These are the terms between you and Exercise Prescription for everything we offer: memberships on the members’ hub, live Express classes, Cancer Fit, one-to-one personal training, gift vouchers and digital downloads. They’re written in plain English on purpose, because being clear with you matters more to us than sounding official. The members’ hub carries its own copy of the membership terms, and the two say the same thing.
Who’s who
“We” and “us” means Exercise Prescription Limited, Tracey’s company, operating from The Stray, South Cave, Hull, HU15 2AN. “You” means the person buying from us or holding the account. Questions about any of this: Tracey@exercise-prescription.co.uk.
Exercise Prescription Limited holds professional indemnity and public liability insurance, so that side of things is covered.
Memberships on the members’ hub
Your membership level decides what you can see and join in the hub: the on-demand library, live classes, nutrition content, personal training and so on. What each level includes, and what it costs, is always shown before you commit to it.
Memberships are paid by card through Stripe and renew automatically each month, on the day you joined, until you cancel. You can update your card, see your payments or cancel from your account page in the hub at any time.
Bronze starts with a seven-day free trial. Your card is taken when you sign up, nothing is charged until the trial ends, and if you cancel before then you pay nothing.
Live Express classes are included with Silver, and with the Platinum and Gold personal-training memberships at no extra cost. Silver is a rolling monthly membership: you pay on the same day each month from the day you join, whenever that falls in a series, and you can cancel at any time. The classes run in four-week series and your membership simply carries on from one series to the next; classes you don’t attend aren’t refunded. Where a class recording is made available afterwards, it’s a bonus rather than a promise. If a whole week of live classes has to be cancelled and isn’t covered, Silver members get a credit against their next payment.
PT Maintenance members can add the live Express classes 30 days at a time. It’s a single payment rather than a subscription: nothing renews, and when the 30 days are up the classes close until you buy another 30. Buying again while your days are still running adds the new ones on to the end. The classes open the moment you pay, so if you change your mind within 14 days we refund the days you haven’t used; after 14 days the pass runs its course. If a whole week of live classes has to be cancelled and isn’t covered during your pass, seven days are added to it instead of a credit.
Cancer Fit is a one-off purchase: pay once and watch the series as often as you like, for as long as the members’ hub runs. The videos are streamed, not downloaded.
Cancelling a membership
You can cancel your membership at any time, with no awkward conversation required. Your access continues to the end of the period you’ve paid for, and you won’t be charged again after that. If you cancel an online purchase within 14 days of buying, you’re entitled to a refund under consumer law for anything you haven’t used.
A personal-training membership can sometimes be paused, but only by agreement with Tracey directly, for medical reasons or other exceptional circumstances. It isn’t something you can switch on yourself, it’s decided case by case rather than being a standard entitlement, and a holiday on its own doesn’t count. Any other membership can simply be cancelled and picked up again when you’re ready.
One-to-one personal training
Before you start. Everyone begins with a free introduction call, so you and Tracey can decide together whether this is right for you. If it is, you book a paid consultation (60 minutes) and your first session. Before that first session you complete our registration and health screening form, and where your health needs it, Tracey may ask you to get clearance from your GP or specialist first. Please keep her up to date if anything about your health changes, and tell her about any new symptoms straight away. Programmes are adapted to your medical needs, and if Tracey only finds out during a session about something that affects your safety, she may adapt, shorten or stop it.
Your membership. Platinum and Gold are set up with Tracey after your consultation. The price you agree with her is what you pay, it’s shown before you commit, and it’s charged monthly by card through the hub. They carry a twelve-week initial commitment, which runs from the day your monthly payments begin (for a new client, that’s two days after your first session); after that they roll on month to month like any other membership. Where you start with a single paid session, your monthly membership begins two days after that session unless you or Tracey end it before then, in which case nothing more is charged; what you paid for that session is credited against your first monthly payment.
Where we train. Sessions happen at your home, online over Zoom, at Tracey’s private studio in South Cave, or outdoors on agreed walking routes. If we’re training at your home or online, please give yourself a clear, safe space to move in, keep pets away from it, and don’t leave children unsupervised during the session.
At the studio. It’s Tracey’s private studio, so a few house rules: no smoking, no animals apart from guide dogs (tell Tracey when you register if you use one), water only rather than food or other drinks, and please don’t bring children under 16, as there’s nobody to look after them. Clothing and footwear you’re not training in go where Tracey shows you.
Sessions. A session usually lasts 60 minutes and finishes at the scheduled time, so please be ready to start on time; if you need to change or warm up first, arrive ten minutes early. If you’re more than 15 minutes late we may treat the session as cancelled. If Tracey is running more than 15 minutes late, you can choose to cancel that session and have it refunded or rebooked. A written training plan, if you buy one, is billed at the same rate as a session. Some sessions involve a degree of physical contact, for example to correct technique or give support; tell Tracey if you’d rather she didn’t.
Cancelling a session. Please give at least 24 hours’ notice to cancel or move a session. A session cancelled with less notice than that is charged in full, though if illness, an accident or a bereavement is the reason, tell Tracey and she’ll use her judgement. If Tracey has to cancel, you can rebook or have the session credited.
Holidays and missed sessions. If you’re going to be away and tell Tracey in good time, the sessions you’ll miss are credited against your next monthly payment. With shorter notice the sessions are moved rather than credited. For a longer absence, see pausing above.
Conduct. Please don’t train under the influence of alcohol or drugs, or straight after a heavy meal. Wear something you can move in and shoes you can train in. We’re not responsible for personal belongings during home, outdoor or studio sessions unless we’ve been careless with them. Serious misconduct can end the arrangement without refund, though we’d always rather have a conversation first.
Health and safety – please read this one
Tracey specialises in training people living with health conditions, and everything we offer is built with that in mind. Even so:
- What we’re for, and what we’re not. We’re here for general fitness, and for staying active while living with a long-term condition, including looking after your heart by managing things like blood pressure, cholesterol, weight and diabetes, with your doctor’s agreement. We are not a cardiac rehabilitation programme: the supervised recovery you’re offered after a heart attack, heart surgery or a new diagnosis of heart failure sits outside what we do. If you’ve been referred for cardiac rehab, complete it first, and join us once your cardiac team says you’re ready to exercise on your own. If you have any heart condition, check with your GP or cardiac team before you join and follow their advice about what’s right for you.
- The content in the hub, and anything Tracey or the hub’s chat assistants tell you, is general guidance, not medical advice, and doesn’t replace your GP, consultant or specialist team. Exercise Prescription doesn’t provide medical diagnosis, medication guidance, physiotherapy, nutritional therapy or counselling.
- If you have a health condition, are recovering from illness or surgery, or haven’t exercised in a while, check with your doctor before starting.
- You know your body. If something hurts, feels wrong, or you feel unwell during exercise, stop. If it’s serious, call 999 (or your local emergency number if you’re outside the UK).
- Exercise carries some inherent risk, and by training with us or using the hub you accept the ordinary risks of physical activity. Results vary from person to person and we don’t promise any particular outcome. Nothing in these terms limits our responsibility where the law says it can’t be limited, for example for injury caused by our own negligence.
Live classes and online sessions
Live classes and online PT run over Zoom. Cameras are encouraged so Tracey can keep an eye on your form, but they’re your choice. Be on time if you can, be kind to fellow members, and wear something you can move in.
If you feel unwell or something hurts during a live class or online session, stop straight away, and if it’s serious call 999 (or your local emergency number if you’re outside the UK). Tracey is on the other end of a video call: she can’t physically help you or get to you, so please make sure you’re somewhere safe to exercise and, if you have a condition that could need help quickly, that someone nearby knows you’re training.
Your account
Your hub account is yours: keep your password to yourself and tell us if you think someone else has been using it. Where Tracey has agreed a household arrangement (for example, two people in one home sharing a class series), that’s fine; otherwise memberships are for one person.
Accounts are for adults. Tracey trains some clients aged 16 or 17, but only where a parent or guardian has agreed it with her directly and takes responsibility for the account. We don’t offer accounts to anyone under 16.
Gift vouchers
Gift vouchers are valid for twelve months from the date of purchase and can be put towards any membership, personal training or class series. To use one, the person it’s for gets in touch with Tracey, who applies the value to whatever suits them; any amount left over stays on the voucher until it’s used or expires. Vouchers can’t be exchanged for cash or used to buy another voucher. The buyer can cancel an unused voucher within 14 days of purchase for a full refund; after that, or once any of it has been used, it’s non-refundable. Please look after the code: anyone who has it can use it.
Digital downloads
Recipe packs, eBooks and other downloads are yours to keep and use once you’ve bought them. Because you get the whole thing the moment you download it, the 14-day cancellation right ends when you start the download; if you haven’t downloaded it yet, you can still cancel within 14 days for a refund. Downloads are for your own personal use, not for passing around.
The content
Everything we sell is for your own personal use, not for a business. The videos, training plans, recipes and other materials in the hub and in our downloads belong to Exercise Prescription. They’re for your own personal use: please don’t copy them, share them outside your household, or re-stream them.
The chat assistants
The hub’s AI assistants are there for everyday fitness and nutrition questions. They’re genuinely useful, but they’re software: they can get things wrong, and they’re not a substitute for Tracey or your medical team. Anything important, especially about your health, take to a human.
Fair use
Use the hub as it’s meant to be used. Don’t attempt to access other members’ information, other membership levels’ content, or the admin area. We can suspend an account that’s being misused, though we’d always rather have a conversation first.
Prices and changes
Prices are reviewed once a year. If a price or these terms change in a way that matters to you (pricing, what’s included, cancellation), we’ll tell you at least 30 days before it takes effect, and you can cancel before then if you don’t like the change. A price change never applies to something you’ve already paid for. Small clarifications may just be updated here.
Things beyond our control
Sometimes things happen that neither of us can help: severe weather, illness, public-health restrictions, a power cut in the middle of a class. If that stops us delivering a session or class, we’ll tell you as soon as we can and offer to reschedule or credit it. Where a whole week of live Express classes is lost, the credit described above applies.
If something goes wrong
If you’re unhappy about anything (a payment, a session, a class, how you’ve been treated) please tell Tracey first, at the email address above. She’ll reply within 14 days and do her best to put it right; most things can be sorted with a conversation. If we can’t resolve it between us, you keep every right you have under UK consumer law, including taking the matter further. Your local Citizens Advice can tell you more about those rights.
Your information
We only use your personal information as described in our privacy policy.
The legal bit
These terms are governed by the law of England and Wales, and any dispute would be handled by the courts there. Nothing in these terms takes away rights you have under UK consumer law.
The information we give you about a service before you buy it forms part of our agreement with you. If a court decides that part of these terms can’t be enforced, the rest still applies. And if either of us lets something slide once, that doesn’t mean we’ve given up the right to insist on it later.
